1. Registration

Please contact us by phone to check if the date and activity of your choice are still available in order to place a provisional booking. This option is valid for 14 days. If no written reservation is made within 14 days, the option will expire.

A written reservation is made by sending back the fully completed and signed registration form by email (scanned). Each confirmation implies acceptance of our general terms and conditions.

2. Payment

The balance is to be paid in cash at the start of the activities or overnight stay. For late reservations, the full amount is also due at the start of the activity. Failure to make payment on time does not cancel the contract.

For large private projects, a 60% deposit of the total amount is required, to be transferred to account KBC BE43 469-6161881-01 with reference to the date, location, and project name. The balance must be paid within 30 days of the invoice date to the same account.

3. Price

All prices are quoted in Euros per person. Our prices include guidance, specific equipment, administration, and organization. VAT is included (unless stated otherwise). Excluded from the price (unless otherwise stated) are additional services, transport, meals, drinks, etc.

Wildtrails reserves the right to adjust prices at any time.

4. Respect for Locations, Environment, Equipment, People, Animals, etc.

Each participant must comply with the instructions and requirements of the organization and instructors. This includes environmentally friendly behavior, respecting the local community and residents, observing quiet hours after 10 PM, and not participating under the influence of alcohol or drugs.

In case of serious violations of the rules or suspected participation under influence, the organization or instructor has the right to exclude the participant(s) without any claim for compensation.

5. Damage

As a guarantee for the equipment (quad bike, laser, kayak, adventure gear, GPS, etc.), an ID or driver’s license must be deposited before the activity begins. In case of loss, damage, or destruction of the equipment, unless caused by normal wear and tear, the participant(s) must immediately reimburse the damaged equipment according to the current price list.

6. Insurance

Wildtrails BVBA is insured for civil liability as an event, teambuilding, seminar, and outdoor sports organization for clients and third parties. Each participant is, of course, personally liable for their own actions. Individual accident insurance is the responsibility of the client.

7. Absence

Absent participants from the reserved number must pay the full price. Changes in participant numbers must be communicated in writing at least 15 days before the activity. The minimum number will always be charged.

8. Liability

Wildtrails BVBA and its instructors cannot under any circumstances be held liable for:

  • Theft or loss of participants’ belongings

  • Bodily or material damage caused to participants by other participants or third parties

  • Bodily or material damage resulting from non-compliance with safety instructions given by Wildtrails and/or instructors

  • Accidents or damage involving motorized activities/vehicles and animals

This also applies to services provided by intermediaries insofar as liability is not governed by law.

All materials provided during an activity must be reimbursed by participants in case of loss or damage. Any physical issues (illness, allergies, etc.) that could affect participation, as well as inability to swim, must be reported in writing beforehand.

Wildtrails BVBA cannot be held liable for minor or ordinary errors by Wildtrails or its appointees. Liability only applies in case of gross negligence or intentional wrongdoing.

Where liability applies, it is limited to repairable, direct material or bodily damage, excluding all immaterial, indirect, or consequential damage. Liability is in all cases limited to the invoiced amount, excluding VAT.

9. Catering / Meals

Bringing and consuming your own drinks on-site is not permitted unless agreed otherwise.

10. Cancellation

The client may cancel the contract partially or entirely at any time. Cancellation fees depend on the notice period:

  • Up to 30 days before the activity: 35% of the total amount

  • Less than 30 days before the activity: 50% of the total amount

  • Less than 15 days before the activity: full amount

Cancellation by Wildtrails BVBA

The organization reserves the right to cancel activities in case of extraordinary circumstances (weather, equipment issues, etc.) or to modify the activities in consultation with the client and offer appropriate alternatives.

In case of full cancellation by Wildtrails, the client will receive a full refund of any advance or the total amount already paid. For modified activities or alternatives, the normal price applies. The client has no claim to compensation.

11. Disputes

Complaints must be submitted in writing to Wildtrails within 8 days of the incident.

For all disputes, only the Court of Kortrijk has jurisdiction, and only Belgian law applies.

12. Miscellaneous

Wildtrails is entitled to use photos, videos, and any mention of the client’s name or logo taken during the execution of the assignment for other purposes, provided no confidential information is disclosed to third parties.
